EXECUTIVE ASSISTANT
City Church is a multi-ethnic, multi-economic, multi-generational church in Fort Wayne, Indiana, seeking to hire a full time Executive Assistant to our growing staff. The role serves as the central point of administrative support for the Lead and Executive Pastors. This position requires excellent organizational skills, professionalism, and a welcoming demeanor to support the church's mission and daily operations. The Executive Assistant will report directly to the Executive Pastor.
Key Responsibilities:
Modeling Biblical Priorities
Responsible for upholding Biblical priorities and core values of City Church. The Executive Assistant should represent a growing personal relationship with Christ. The Executive Assistant models a strong relationship with his or her spouse (if married) and children (if applicable). The Executive Assistant strives to fulfill his or her purpose in life and ministry while demonstrating integrity in words, relationships, and actions.
These objectives are accomplished by:
• Committing to a daily quiet-time with God.
• Participating in a City Church small group on a regular basis.
• Setting appropriate boundaries to protect character and integrity.
• Adhering to and encompassing the qualities and characteristics required of City Church employees, as defined by the Staff Handbook.
Administrative Support
• Provide administrative support to the Lead and Executive Pastors
• Manage the Pastors’ calendars functioning as the primary contact person for meetings and other schedule commitments.
• Function as coordinator managing logistics for all Executive Staff led events, retreats, staff and other meetings, etc.
• Function as human resources coordinator including the creation, distribution, and update of human resources policies/procedures, administration of the staff recruiting and assimilation processes, and coordination of periodic staff team building and recognition activities/events.
• Facilitate the completion of annual staff performance reviews and maintain personnel files as well as other pertinent records related to staff.
• Setup and maintain electronic filing systems as needed to ensure easy access to important records.
• Provide administrative and clerical support including, but not limited to:
o Reception and host for office and/or events
o Ordering/shopping for supplies
o Event preparation and/or event management
o Travel arrangements
o Preparation for speaking events, presentations, materials, displays, decorations, videos, etc.
• Maintain receipts and reconcile monthly credit card statements.
• Perform other duties as assigned.
Communication
• Handle incoming phone calls, emails, and visitors with professionalism and courtesy
• Manage all forms of correspondence including voicemail, e-mail, and regular mail.
• Communicate all updates for church website and social media platforms with the social media associate
• Create and distribute church-wide communications
Qualifications
Required Skills
• Strong organizational and multitasking abilities
• Excellent written and verbal communication skills
• Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
• Ability to maintain confidentiality with sensitive information
• Detail-oriented with strong problem-solving skills
• Warm, welcoming demeanor and excellent interpersonal skills
• Able to accomplish assigned tasks with a high level of excellence and minimal supervision.
• Must be able to prioritize responsibilities effectively, manage multiple projects and deadlines, and work with collaboratively with volunteers and other staff members.
Education & Experience
• High school diploma required; Associate's or Bachelor's degree preferred
• 2+ years of administrative or office management experience
• Experience with church management software preferred
• Background in non-profit or church environment beneficial

Working Hours & Conditions
• Typically Monday-Thursday, 9:00am–5:00pm, Sunday 7:00am-3:00pm (40 hours/week)
• Some flexibility may be required for occasional evening or weekend events
• Office environment with some standing, walking, and light lifting
